Inside the three free samples
Two to three full sample templates are free, no card. Judge the library by the samples before paying — if a sample is thin, no copy will fix it. Free downloaders are never counted as subscribers.
1 · Client Onboarding Packet
Welcome letter, what the firm does and does not do, a document request list, and an engagement terms summary for signature — with a 10-minute customization note: swap in your firm’s details, fill the intake section from the first call, send for signature before the first close.
Have counsel review before use — the packet includes engagement and terms language.
2 · Monthly Close SOP
The close as a calendar, days 1–10 of each month for the prior month: freeze inputs on day 1, import and categorize days 1–3, reconcile days 3–5, review pass days 5–7, report days 7–8, client delivery days 8–10, file on day 10. Any unreconciled difference over $25 stops the close — investigate, do not plug.
3 · Client Offboarding Checklist
Final accounting, records handover, and access revocation on the final date, not before: final month closed, books exported, software and portal access removed, shared folders transferred, client file marked closed. It does not end tax, legal, or audit obligations.
Free sample viewer — SAMPLES from the library
The three free samples below are SAMPLE templates from the library’s own sample files (fictional example firm/client, labelled SAMPLE). They are starting points, not legal, accounting, or HR advice — have counsel review before use, especially the engagement and terms language in the onboarding packet.
SAMPLE 1 — Client Onboarding Packet (contents)
- Welcome letter: what the firm handles (monthly bookkeeping, bank and credit-card reconciliations, monthly reporting), what happens next — return the document request list, set up portal access and confirm the chart of accounts, first close walkthrough.
- What we do / do not do: do — record transactions, reconcile accounts, prepare monthly reports, flag missing documents, maintain the books. Do not do — tax preparation or filing, audit representation, payroll tax filing, or legal advice.
- Document request list: prior 12 months of bank + credit-card statements, access to accounting software, prior accountant’s trial balance and year-end reports, entity documents, monthly recurring transactions list.
- Engagement terms summary (for signature): services as listed, monthly fee, month-to-month term with notice period, client document responsibilities, records ownership. 10-minute customization note: swap in your firm’s details, fill from the first call, send for signature before the first close.
Have counsel review before use — this packet includes engagement and terms language.
SAMPLE 2 — Monthly Close SOP (days 1–10, prior month)
- Freeze inputs (day 1): confirm all bank + credit-card statements received; log missing items on the late-documents chase template the same day. Do not start reconciliations on partial statements.
- Import and categorize (days 1–3): import transactions, categorize to the client’s chart of accounts, flag uncategorized items over $250 for client confirmation.
- Reconcile (days 3–5): reconcile every bank and credit-card account to its statement to the cent. Any unreconciled difference over $25 stops the close — investigate, do not plug.
- Review pass (days 5–7): reviewer (never the preparer, where staffing allows) checks prior-month balances carried forward, loan/credit-card balances against statements, payroll liabilities against payroll reports, and flags any account moving >20% month-over-month with a one-line note.
- Report (days 7–8): monthly report pack — profit & loss, balance sheet, cash summary, variance notes. One page of plain-English notes maximum.
- Client delivery (days 8–10): report + 5-bullet summary email + list of documents still needed; log delivery date and client questions.
- File (day 10): file per the Document Retention & Filing SOP; mark the client “closed” on the close tracker. Any client not closed by day 10 goes on the overdue list with a named owner and a chase date.
Full text of SAMPLE 2 — purpose, owner, and pitfalls (from the sample file itself):
Purpose: Produce a complete, reviewed monthly close for every bookkeeping client, the same way, every month. When to use: Days 1–10 of each month, for the prior month. Owner: Assigned bookkeeper. Reviewer: Second staff member or owner (never the same person who prepared the close, where staffing allows). This SOP teaches process, not accounting judgment — accounting decisions remain with the firm’s qualified staff.
Filled-in example carried in the sample: in the import-and-categorize step, the example firm’s client month is worked through transaction by transaction — transactions imported, a small number flagged (vendor payments without invoices, owner draws, and a duplicate charge that is reversed before close). The point of the example is the flagging habit, not the example firm’s numbers.
Pitfalls the sample names:
- Starting reconciliations before statements are complete (creates rework).
- Plugging a difference instead of finding it (the difference reappears next month, larger).
- Sending a report without variance notes (the client calls with questions the report should have answered).
- The preparer reviewing their own close with no second pair of eyes (errors survive).
Customization note in the sample: Fill in your firm’s close calendar (which clients close which days), your statement sources, and your reviewer assignments. If you have one staff member, the owner reviews — do not skip the review step because staffing is tight.
SAMPLE 3 — Client Offboarding Checklist (groups)
- Final accounting: final month closed, all accounts reconciled through the final date, final invoice issued, year-to-date reports exported (P&L, balance sheet, general ledger, trial balance).
- Records handover: full books export delivered, handover note (open items, prior-accountant contact, where each year’s files live), client confirms receipt in writing.
- Access revocation (on the final date, not before): accounting software, bank-feed / portal access removed; shared-drive folders transferred to client ownership, then firm copies archived per retention SOP; staff notified no further work after the final date.
- Close-out: offboarding email (thank-you, what was delivered, where records are, who to contact with questions for 30 days); client file marked closed; lessons note filed for service improvement, never shared outside the firm.
It does not end tax, legal, or audit obligations, and does not transfer liability for prior periods.

Prices

Library subscription
$49/month
Full library access, searchable by firm type, workflow stage (onboard → deliver → report → offboard), and document type. Monthly new pack (3–8 related templates) with a release note. Filled-in example with every template. All updates while subscribed. Monthly request-a-template vote. "How to customize this in 10 minutes" note per template. Cancel anytime.
One-off packs (non-subscribers)
$79–$129 per pack
A single workflow pack (e.g., Bookkeeping Client Onboarding Pack, $99) without a subscription. One-off buyers get a subscription discount offer after purchase.
Annual plans are not offered at launch — only after retention data exists and the annual price math is done deliberately. No custom template writing, no consulting calls, no done-for-you SOP creation in v1.
What’s NOT included
No legal advice, no accounting advice, no HR advice, no guarantee that any template is compliant in any jurisdiction or sufficient for any specific firm’s situation. Have counsel review before use — every legal-adjacent template in this library carries that notice, and it is repeated here because it is a condition of use, not fine print.
Refund and cancel terms
Subscription: cancel anytime, effective at the end of the current billing period. A single-month subscription refund ($49) is under the $50 auto-approve threshold; one-off packs ($79–$129) exceed it and are escalated to the owner for a decision. Digital-download refunds are logged with whether the file was downloaded. License: personal firm use only — no resale, no redistribution, no sharing outside your own firm.
Terms in brief
Templates are general information and starting points, not legal, accounting, or HR advice. Laws vary by jurisdiction and change over time. All templates are original work.
What this is — and what it is not
What this is
A searchable subscription library of operator-grade SOP and onboarding templates for small service firms — launch vertical first: bookkeeping firms, from onboarding to offboarding. Every template ships with a filled-in example, not just a blank form, and a “How to customize this in 10 minutes” note. New packs ship monthly; subscribers vote on what gets built next.
What this is not
Not a law firm, not an accounting firm, not a consultancy, and not a guarantee of compliance in any jurisdiction. No custom template writing, no consulting calls, and no done-for-you SOP creation in v1. Usage notes teach customization, not decisions — they do not advise what to charge, how to classify a worker, or what tax treatment to apply.
One-off pack vs. library subscription — using the prices already listed above
